More than 1,800 minutes a month, or 5 hotels or more?
We agree larger volumes and groups of hotels in a contract, with their own terms.
Good to know
- Voice minutes count phone calls, voice on your website and the time a call is put through to your reception. Your package renews every month, on yearly plans too; unused minutes do not carry over.
- Your subscription starts on the day you pay, not on the first of the month.
- Upgrade any time: the new plan and its minutes start that day, and what is left of the old one is credited. A downgrade starts with your next period.
- Prices are in euros and exclude VAT. Lobby Engine is sold to businesses with an EU VAT number; VAT is accounted for by you under reverse charge. Without one, you can set up and test, but not go live.
- Setting up and testing is free until you switch the assistant on for guests. Testing has a small spending limit, for chat and voice alike.
- Closed for the winter? On a monthly plan, freeze it for €0 a month and let the number go, or for €3 a month and keep it.
- Each hotel has its own subscription.

Is an AI Receptionist Cheaper Than a Night Receptionist?
Enter the phone hours you need covered, what an hour of staff time costs you and how many minutes guests talk to it.
- Staff cost for those hours
- €4,368
- Lobby Engine Start, 250 minutes included
- €79
- Minutes beyond the package at €0.32 a minute
- €0
- Left over each month
- €4,289
A rough estimate for planning, prices excluding VAT, on the plan that costs least for your minutes. Lobby Engine is not meant to replace your whole team — it takes the phone hours, so your people can focus on guests.
FAQ
AI Receptionist Pricing Questions
Can I test it for free?
Yes. Setting up and testing is free until you switch it on for guests; testing has a small spending limit, for chat and voice alike. You pay from the day you go live.
How are voice minutes counted?
Each plan includes a package of voice minutes every month: 250 on Start, 750 on Pro, 1,800 on Premium. Phone calls, voice on your website and the time a call is put through to your reception count towards it. Minutes beyond the package cost €0.32 a minute, billed by the second. The website chat has no meter.
Will I get a surprise bill?
No. Within your package, voice is not limited. For minutes beyond it you set a monthly spending cap (€50 unless you change it, or zero to allow none). At the cap, voice pauses until your next period: callers are put through to your hotel’s own number if you have set one, or asked to leave their name and number; the website chat keeps answering. Minutes beyond the package are invoiced each time they reach €20.
Does it connect to my booking engine or PMS?
No. Lobby Engine does not connect to booking engines, PMS or channel managers and does not see live availability or rates. It answers from the information you give it, takes booking requests: each one waits in your dashboard for you to confirm, with an e-mail to tell you.
Is the phone line included?
Yes. Every plan includes the line your hotel’s number forwards to, with no separate charge. You ask for a number for it in your dashboard, even before you go live, and our team replies within one working day. A local number in Germany, Austria or Greece is set up by hand, with no fixed date. Website chat and voice on your website work without it.
Is there a setup fee?
No. You set it up yourself in the dashboard, guided step by step, and that costs nothing. If you would rather not spend the time, our team can do everything for you for a one-time €290, and look after it for €49 a month once it is live. Both are optional, and our team works in English or German.
Is there a yearly price?
Yes: paying for a year is 10% off twelve months. Your minutes still come as a monthly package and do not carry over.
Can I change my plan?
Yes. An upgrade takes effect at once: a new period starts that day with the new plan’s minutes, what is left of the old plan is credited, and minutes beyond the old package are invoiced then. A downgrade takes effect from your next period; on a yearly plan, from the next year.
Can I pause over the winter?
Yes, on a monthly plan. Freeze it for €0 a month and let the number go, or for €3 a month and keep it.
Do prices include VAT?
No. Prices are in euros and exclude VAT. Lobby Engine is sold to businesses with an EU VAT number; VAT is accounted for by you under reverse charge. Without one, you can set up and test for free, but not go live.
Can I cancel, and is there a minimum term?
There is no minimum term beyond the period you have paid for, a month or a year. You stop it in your dashboard at any time: it keeps answering until the end of that period and is not renewed. What is already paid is not refunded.
Where is my guests’ data kept?
On our servers in Germany. Some of the companies that help us run the service, such as those for the conversation and the AI, are in the United States, and transfers to them are protected as the GDPR requires; our privacy policy names each one. A data processing agreement is part of what you accept when you sign up; both are linked at the bottom of every page.
